Help Integrate LLC ("we", "us", or "our") operates the Help Integrate platform. This Privacy Policy describes how we collect, use, and protect your information when you use our Service.

1. Information We Collect

We collect the following types of information:

  • Account Information: Name, email address, and profile picture from your Google or Microsoft account when you sign up.
  • Connected Account Data: When you connect Google or Microsoft, we access your email, calendar, and file metadata as authorized by the scopes you approve during OAuth.
  • Financial Data: When you connect a bank account via Plaid, we access your account balances, transaction history, and account metadata (account name, type, last four digits). This data is used solely to display your financial information within the Service.
  • Content You Create: Tasks, contacts, deals, knowledge base articles, chat messages, and other content you create within the Service.
  • Usage Data: Information about how you use the Service, including pages visited, features used, and device information.
  • Payment Information: When you subscribe to a paid plan, payment processing is handled by Stripe. We do not store your credit card number — Stripe handles this securely.

2. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Service
  • Process AI suggestions (analyzing your emails, calendar, and tasks to generate actionable recommendations)
  • Send you important updates about the Service
  • Process payments and manage your subscription
  • Provide customer support
  • Detect and prevent fraud or abuse

3. Google User Data

Help Integrate's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

When you connect your Google account, we request the following permissions and use them solely as described:

  • Gmail (modify): To read your incoming emails, display them in your unified inbox, compose and send replies, and archive or label messages you have acted on. We cache email metadata and content locally to enable AI-powered suggestions.
  • Google Calendar: To read your calendar events, display them in your calendar view, detect scheduling conflicts, and create new events based on your approved actions.
  • Google Drive (file-scoped): To save, organize, and retrieve transaction documents (contracts, disclosures, inspection reports) that you create or upload through Help Integrate. We can only access files created by or opened with our app — not your entire Drive.
  • Gmail Settings: To sync your email signature for consistent branding when composing messages through our platform.
  • Google Docs: To create, view, and edit transaction-related documents within your Google Drive when you choose to use Google Docs integration.

We do not use Google user data to serve advertisements, target ads, or for any advertising purpose. We do not sell, transfer, or disclose Google user data to data brokers, information resellers, or any third party for purposes unrelated to the Service's core functionality. Google user data is not used to train artificial intelligence or machine learning models. Human employees do not read your Google data unless you have given explicit consent, it is necessary for security/abuse investigation, it is required by law, or the data has been aggregated and anonymized for internal operations.

4. Financial Data & Plaid

Help Integrate uses Plaid to connect your bank accounts and retrieve financial data. When you connect a bank account through Plaid Link, you authorize Plaid to retrieve the following information on our behalf:

  • Account information: Account name, type (checking, savings, credit card), last four digits, and current balances.
  • Transaction history: Transaction date, amount, merchant name, category, and pending status.

Key protections for your financial data:

  • Financial data is owner-only. Row-level security ensures that only you can see your financial accounts and transactions — never workspace admins, team members, or AI systems.
  • Plaid access tokens are stored server-side only, encrypted at rest (AES-256), and are never exposed to the client application or any third party.
  • We do not sell, share, or transfer your financial data to any third party for any purpose beyond providing you with the Service.
  • You can disconnect a bank account at any time from the Financials page, which immediately revokes the Plaid access token and stops all data syncing.
  • Previously synced transactions remain in your account after disconnection unless you choose to delete them.

By connecting a bank account, you also agree to Plaid's End User Privacy Policy.

5. AI Data Processing

Our AI features analyze your emails, calendar events, tasks, and CRM data to generate suggestions. This processing occurs on our secure servers using third-party AI providers (Anthropic for Claude, Groq for Llama). These providers process data on our behalf and are contractually prohibited from using your data for any other purpose.

Key protections:

  • AI suggestions are never auto-executed — they always require your explicit approval.
  • Financial data marked as private is never sent to AI providers or visible to anyone except the data owner.
  • Your data is not used to train AI models — not by us, and not by our AI providers.
  • AI processing is scoped to your workspace — data from different workspaces is never mixed.

6. Document Filling & E-Signatures

Help Integrate provides document filling and electronic signature features for real estate transactions:

  • Document Templates: You may upload PDF contract templates which are stored securely in our servers. Template field data is mapped to your transaction data to enable auto-filling.
  • Filled Documents: When you auto-fill a template from a deal, the generated PDF is stored in your workspace and accessible only to workspace members with appropriate permissions.
  • E-Signatures: When you send a document for signature, we collect the signer's name, email, IP address, user agent, and signature image. This data is retained as part of the legally required audit trail per the ESIGN Act and UETA. Signed documents include a Certificate of Completion with a SHA-256 document hash for tamper evidence.
  • AI Field Mapping: When you use AI auto-mapping for document fields, field names from your PDF are sent to our AI provider to suggest data mappings. No actual deal data or personal information is sent during the mapping process — only the field names.

7. Team & Workspace Data

Help Integrate supports team workspaces where multiple users collaborate:

  • Chat Messages: Messages sent in workspace channels are visible to all workspace members in that channel. Direct messages are visible only to the participants.
  • EOS/Leadership Data: Rocks, scorecard metrics, issues, to-dos, V/TO, and accountability chart data are visible to all workspace members. This data is used solely within your workspace for business planning purposes.
  • Clause Library: Contract clauses you create are scoped to your workspace and accessible by all workspace members.
  • Imported Data: If you import data from third-party platforms (such as Slack or CRM systems), that data is stored within your workspace and subject to the same access controls as data created natively in Help Integrate.

8. Data Sharing

We do not sell your personal information to third parties. We do not transfer data to advertising platforms, data brokers, or information resellers. We share data only in these limited circumstances:

  • Service Providers: We use third-party services (Supabase for database/auth, Vercel for hosting, Stripe for payments, Plaid for bank connections, Anthropic/Groq for AI) that process data on our behalf under strict contractual obligations.
  • Legal Requirements: We may disclose information if required by law, legal process, or government request.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of the transaction with prior notice and consent.

9. Data Security

We implement industry-standard security measures including:

  • Row-level security (RLS) in our database ensuring users can only access data they are authorized to see
  • Encrypted OAuth tokens and Plaid access tokens for connected accounts
  • HTTPS/TLS encryption for all data in transit
  • Content Security Policy (CSP) headers to prevent XSS attacks
  • Regular security audits of our codebase

10. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law. Cached email data is automatically purged 90 days after disconnecting an email account. When you disconnect a bank account, the Plaid access token is immediately revoked and deleted; previously synced financial transactions remain unless you manually delete them. Application logs are retained for 90 days.

11. Your Rights

You have the right to:

  • Access: Request a copy of your personal data
  • Correction: Update or correct inaccurate data
  • Deletion: Request deletion of your account and data
  • Export: Export your data in a standard format
  • Revoke Access: Disconnect third-party integrations (including bank accounts) at any time from Settings or Financials

12. Cookies

We use essential cookies for authentication and session management. We do not use third-party tracking cookies or advertising cookies.

13. Children's Privacy

The Service is not intended for use by anyone under the age of 16. We do not knowingly collect data from children under 16.

14. International Data Transfers

Your data may be processed on servers located in the United States. By using the Service, you consent to the transfer of your data to the US. We ensure appropriate safeguards are in place for international transfers.

15. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service. The date at the top of this page indicates when it was last updated.
